Fire or Smoke Reported or Observed

If fire or smoke is observed in the McBay Science Library PULL NEAREST FIRE ALARM. Notify Access Services of its location as you exit the building. (If burning odor is detected, try to establish what is occurring).

  1. Remain calm.

  2. Access Services desk staff should call 911 (9-911 from on-campus telephone) to confirm that the alarm has been received for the McBay Science Library located adjoining the Boyd Graduate Studies building.

  3. Research & Instrucion is responsible for:

    a. Monitoring entrance and exit gates until building is cleared. Library materials not checked out should be left inside the library building.

  4. Access Services desk staff is responsible for:

    a. Clearing the building if Security is not present at the time

    b. Securing money.

 

When a Fire Alarm Sounds

  1. Staff will leave the library. Staff working away from their desks should leave the library directly, rather than returning to their work area.

  2. Staff should tell Access Services Desk Staff if a user with disabilities has been observed in the library, giving location if possible. Access Services Desk Staff will notify Campus Police or firemen of users with disabilities, and campus police or firemen will evacuate users with disabilities.

  3. Staff should congregate at the end of path near Cedar Street by North Graduate Studies parking lot, and each department should make sure that everyone in their unit is outside .

  4. In all cases personal safety is the primary concern.

 

Note: The McBay Science Library fire alarm is connected with the Boyd Graduate Studies alarm, since they are in adjoining buildings. BOTH buildings should be evacuated any time the fire alarm is activated.

 

Tornado or Severe Weather

  1. Access Services Desk Staff/Security will post appropriate signage to alert the public to the weather situation.

  2. If there is a tornado WATCH, weather radio or Security notifies Access Services Desk Staff. Access Services personnel will send out a Southpaw email to inform staff of the situation.

  3. If there is a tornado WARNING, weather radio or Security notifies Access Services Desk Staff.

    a. Units designated to clear floors will notify users and advise them to avoid lobby and windows and that the recommendation is to use the central stairwell or room 382 on the 3rd floor if possible. Restrooms are also considered safe areas during this type of emergency.

    b. Research & Instruction/Access Services will monitor the entrance and exit gates and notify patrons of situation.

    c. Users with disabilities should be escorted to the elevators and taken to either the 4th floor stairwell landing or to room 382 on the 3rd floor. Users with disabilities on 3rd and 4th floors should go to the core stairwell landings, the restrooms, or room 382 and given flashlights in the event of power failure. Staff should tell Access Services Desk Staff if a user with disabilities has been observed in the library, giving location if possible. Access Services Desk Staff will notify Campus Police or firemen of users with disabilities, and, if needed, campus police or firemen will evacuate users with disabilities.

 

Power Failure

  1. Units should check their assigned areas to see if anyone needs assistance. Provide assistance and light via flashlights for those patrons wishing to leave the library.

  2. Access Services Desk Staff will check with Building Maintenance Supervisor to inquire about the reason for the failure. On nights and weekends, Research & Instruction and any other staff in the building will help carry light via flashlights to the floors. Access Services Desk Staff or security assistant will call campus police at night or weekends. For instructions about keeping the building open, call Library Security (706)542-0653 (2-0653 from campus telephone).

  3. Users with disabilities may need assistance from Campus Police.

  4. Each unit is responsible for maintaining their flash lights.

 

Building Maintenance (Stuck elevators, electrical, or plumbing problems, etc.)

  1. Weekdays, 8 a.m. to 5 p.m. : notify the building supervisor and/or Main Library security desk: (706)542-0653 (2-0653 from campus telephone).

  2. After 5 p.m. and weekends: If the problem can't wait until business hours resume, call Campus Police: (706) 542-2200 (2-2200 from campus telephone).

 

Person(s) Stuck in Elevators

  1. If someone is stuck in an elevator, contact Work Orders: (706)542-7456 (2-7456 from campus telephone) or Campus Police: (706)542-2200 (2-2200 from campus telephone) after 5 p.m. and weekends. Staff should try to talk with the individual(s) trapped to try to keep them calm and informed about what is happening.
     
  2. No Library staff member should attempt to free anyone stuck in the elevator.

 

Disruptive Behavior Including Indecent Exposure

  1. Notify Access Services Desk Staff who will immediately notify Campus Police: (706)542-2200 (2-2200 from campus telephone) and Security: (706)542-0653 (2-0653 from campus telephone).

  2. Ask person reporting incident to remain until police arrive. Maintain observation of exit gate.

  3. Do not become involved in pursuit.

 

Verbal Abuse from Patrons

  1. If a staff member is being abused, alert supervisor of the unit immediately, and contact Security Office: (706)542-0653 (2-0653 from campus telephone) or the security assistant assigned to Science if present.

  2. On nights and weekends, staff should notify Security immediately and lend firm support of library policy to each other.

  3. If a threat is made, or patron does not comply, the staff member should call Campus Police and Security.

 

Patron or Staff Illness or Injury

  1. Notify Access Services Desk Staff (or security assistant if available) who will call Emergency 911 (9-911 from campus telephone) and ask for ambulance.

  2. Access Services Desk Staff will clearly describe the nature of medical problem. Staff need to be very clear on this. The speed with which an ambulance arrives depends on it. If it is truly a medical emergency the caller needs to say that. Emphasize that the ambulance should go to the McBay Science Library located adjacent to the Boyd Graduate Studies building at 210 D.W. Brooks Drive, NOT THE MAIN LIBRARY

  3. Notify Security: (706)542-0653 (2-0653 from campus telephone) and Campus Police: (706)542-2200 (2-2200 from campus telephone).

  4. A staff member or Security should remain with the patron until the ambulance arrives

 

Emergency Phone Calls for Patrons

  1. When a request to find someone in an emergency is received, transfer the caller to Campus Police: (706)542-2200 (2-2200 from campus telephone).

  2. If Campus Police requests help in locating a person in the McBay Science Library, assist them if staff are available to do so.

 

Bomb Threats

  1. If a bomb threat is received, the recipient should follow the steps here: UGA's Emergency Preparedness Office Bomb Threat guidelines keeping the caller on the phone as long as possible. Then notify Campus Police: (706)542-2200 (2-2200 from campus telephone) immediately. Next notify Access Services who will initiate Internal Emergency Notification Chain to inform units to be prepared. Campus Police will determine whether to evacuate the library.

  2. If evacuation is necessary, Access Services Desk Staff will implement the Internal Emergency Notification Chain and instruct units to evacuate.

  3. Staff will notify Campus Police: “We require assistance clearing the McBay Science Library.”

  4. DO NOT PULL THE FIRE ALARM.

  5. Staff may volunteer to assist clearing the library.

** After 5 p.m. weekdays, on weekends, or during periods of limited staffing, Access Services Desk Staff will have responsibility of completing chain notification if a unit is unstaffed.
